Sticky notes and reused passwords still show up in audits. A business password manager is how a 20-person office shares the Wi-Fi and vendor portals without texting secrets in Teams.
Pick a product IT can administer. Personal free tiers do not give you offboarding.
Features that matter at work
Admin console with forced MFA on the vault.
Shared folders by role (AP, HR) with audit logs.
Browser and mobile apps that staff will actually use.
Export and emergency access for when someone leaves.
SSO into the vault if you already run Microsoft Entra ID.
Common choices
1Password Business, Bitwarden, Dashlane, Keeper, and Microsoft’s ecosystem tools each can work. The differentiator is administration and training, not a feature checkbox war. Avoid storing MFA backup codes only in email.
Rollout tip
Migrate the noisiest shared passwords first (social, domain registrar, payroll). Pair with MFA so the vault is not the only factor.
