1. Know Who Your Guests Are
Review Azure Entra ID › Users › Guest users quarterly. Remove guests who no longer work with active projects. If your industry requires attestations, export the list before audits.
2. Default Sharing Links
In SharePoint admin, set the default link type to People in your organization unless a site specifically serves external collaboration. Train staff to choose “Specific people” when emailing sensitive files.
3. Teams and Channels
Decide whether guests can be added to any team or only teams owned by approved sponsors. Use naming conventions (for example, prefix EXT-) so members recognize externally shared spaces.
4. Expiration and Access Reviews
Where licensing allows, enable guest expiration or periodic access reviews for high-risk teams. Pair policy with a simple internal rule: the business owner of the relationship renews guest access each quarter.
